Conditions of participation

The following conditions apply to the purchase of tickets for Copenhagen SUP:

Copenhagen SUP is organized by Surf SUP Sports P/S in collaboration with Surf & SUP Denmark.

Registration

You can participate in the following distances:

Easy explore: 2 km

Fun explore: 5 km 

Pro explore: 9 km

Registration for the event is done through Sportstiming. With the purchase, you will receive a race number and a T-shirt.

Your registration is binding, and there is no right of withdrawal. However, it is possible for you to transfer your race number to someone else free of charge.

Sportstiming charges an administration fee of 15 DKK. Sportstiming's terms of sale, which apply to their processing of your purchase, can be viewed on their website.

Your race number is personal, and you must ensure that you are registered with the correct personal information. Immediately after the purchase, you will receive a purchase receipt via email. If you do not receive the receipt, or if it contains errors, you can contact viktor@surfsup.dk.

All transfers completed before august 30, 2024, will be registered in the registration system and on the race number. After august 30, 2024, it will no longer be possible to adjust the name, team name, and distance on the race number itself. The distance can be changed as long as there is available capacity.

Your registration for the event will be listed on the participant list and the result list with your name, birth year, race number, finish time, and placement. However, you have the option to appear anonymously on the lists – This can be done on sportstiming by following the guide at https://www.sportstiming.dk/faq under the section "PRIVACY AND PERSONAL DATA."

Race Numbers and T-shirts 

You are expected to pick up your T-shirt & race number at check-in on the day or up to the event day. A guide will be sent to you in August.

Event Conduct 

The event is conducted according to the rules of Surf & SUP Denmark, as shown here: https://surfsup-strapi-live.fra1.digitaloceanspaces.com/SUP_Konkurrenceregler_2023_0cbef88514.pdf. However, in connection with Copenhagen SUP, exceptions will be made to the following rules:

§1.1.1: Not enforced, except for the board having a maximum length of 14 feet (426.72 cm), measured from the board's nose to its end.

§3.1.1: Physically attending the "surfers meeting" or "race briefing" is not mandatory, but a guide will be sent, which you must read.

§3.3: The athlete's position on the SUP board: not enforced.

You must be in good health and able to complete the chosen distance on your own.

It is mandatory to wear a life jacket or PFD (Personal Flotation Device).

Media Use (images, video, etc.) and Copyright Clause 

The organizers of Copenhagen SUP and their partners are permitted to use photos, film recordings, interviews, and other media material from the event for marketing purposes. All media material used by the organizers is protected by copyright and may not be used commercially by third parties without prior written permission.

Liability

The event is conducted in Copenhagen Harbor and is closed to all other traffic with a floating barrier. There will be designated access points to the water. Participation is at your own risk, and neither the organizer, partners, nor sponsors can be held liable for any injuries incurred before, during, or after the event. If you are under 18 years old on the day of the event, you must ensure that your parents or guardians have consented to your participation.

Postponement and Cancellation 

External circumstances may necessitate us as organizers to either postpone or completely cancel the event. Such external circumstances could include governmental bans or mandates, safety considerations, and other special national conditions, severe weather, or other force majeure-like conditions.

If the event is postponed before the event day, you will automatically be transferred to participate in the event at a later date. If the event is canceled or interrupted on the event day itself, your participant fee will not be refunded.

In the event of postponement or cancellation, we as organizers are not liable for any direct or indirect consequential losses you may have incurred, e.g., for transportation to and from Copenhagen. In the case of cancellation, Sportstiming, as mentioned above, does not refund the administration fee you paid at registration.

Acceptance of Participant Conditions 

Upon registration, you will be asked to accept the above participant conditions by ticking a box. Your acceptance means that you fully agree to the conditions, including that your registration is binding, you participate at your own risk, and you accept the terms for postponement and cancellation. By accepting the participant conditions, you also agree that we can send information about activation and training offers related to participation in Copenhagen SUP.

Disclaimer for Errors and Omissions 

We reserve the right to possible errors and omissions in the description above of prices, terms, and the event both online and in printed material. All information is published subject to changes.

Your Personal Information 

Surf & SUP Denmark has entered into service agreements with Sportstiming for registration. Sportstiming is therefore a data processor for Surf & SUP Denmark. The personal information you provide in connection with registration and participation is stored securely. Email addresses and phone numbers are used to send necessary information to you about the conduct of the event. Your personal information is not shared with third parties.
